Once you have successfully completed the integration with your HRIS using the workflow provided, you can use field mapping to determine the data origin of certain fields and set specific filters. In this article, we explain what this is all about and how to set the right filter for you.
What does field mapping do?
By configuring the field mappings, you ensure that the data that is transferred in become.1 comes from the correct data field in your HRIS.
Which data fields can I fill?
There are various data fields that can be filled:
Payroll-relevant personnel number: Select the data field in your HRIS in which the personnel number relevant to your employees’ payroll is stored.
Groups: You have the option of transferring up to 6 groups to become.1. To do this, select the data field of your HRIS that you would like to have mirrored as a group in become.1. If you do not want to transfer a group, you can skip this step.
Filter: If you want to filter your employees according to a specific attribute, select the data field of your HRIS that should serve as the basis for this. The exact setting of up to 2 filters can be made in the next step. If you do not want to set any further filters, you can skip this step.
Set up a field mapping:
You should now see the following screen:
2. Use the dropdown to select the data field you want to transfer.
3. Confirm the field mappings by clicking on ‘Save Mappings’.
What does the filter do?
By setting a filter, you ensure that only the employees you want are mirrored by HRIS in become.1.
What data can I use to filter?
There are various fields that can be used for filtering:
Legal entity (if you manage several companies in one HRIS instance)
Employment type (internal, external, full-time, part-time, interns, etc.)
Employee status/ Employment status (active, pending, inactive, leave etc.)
Customised filter 1
Customised filter 2
Setting up a filter for the transfer of specific data is optional – if you do not want to use a filter, you can confirm the window without making a selection.
Set up a filter:
Note: Please make sure that you only set a filter if you are sure that the unselected employees should not be synchronised.
You should now see the following screen:
Click on the fields that should be synchronised. If no checkbox is selected, all attributes will be synchronised.
For example, you can use the status filter to ensure that colleagues are only synchronised in become.1 after the probationary period has been completed – simply do not select the status used, such as ‘Pending’.
Important: The INACTIVE status must always be activated in order to correctly map the departure of employees. Employees who have already left in the past are not synchronised.
3. Confirm the filter by clicking on ‘Share <#> out of <#> employees’
